Train and Cotton Candy Rental Policy Statement
Thank you for considering All Aboard Party Headquarters for your upcoming event. Please review the following policy statement regarding our train, cotton candy, and snow machine rental services.
Booking Fee:
For train rentals, a non-refundable booking fee of $50 is required to secure your reservation. This fee is necessary to reserve your desired date and time, as well as to cover administrative costs associated with processing your booking.
Corporate Event Bookings:
For corporate event bookings, a 50% deposit is required at the time of reservation to secure your booking. The remaining balance is due the day prior to the scheduled date.
Cotton Candy Rental:
In addition to our train rental services, we also offer cotton candy rentals to enhance your event experience. Cotton candy rental fees are based on number of servings. Please contact us for pricing and availability.
Snow Machine Rental:
For seasonal events, we offer snow machine rentals to add a touch of winter magic to your celebration. Snow machine rental fees are $100 per hour, which includes the machine and the liquid snow. Please contact us for availability.
Surface Requirements for Train Operation:
Please note that our trackless train must operate on a flat surface, preferably concrete or pavement. It cannot run on grass or gravel. It is the responsibility of the renter to ensure that the designated area for the train ride meets these requirements.
Liability for Passenger Behavior:
While every effort is made to ensure the safety of our passengers, All Aboard Party Headquarters is not responsible for any accidents or injuries that may occur due to passengers getting out of their seats and/or standing up while the train is in motion. It is the responsibility of the renter to ensure that all passengers adhere to safety guidelines and remain seated throughout the duration of the ride.
Photography Consent of Minors:
Please be aware that photography of minors may occur during the train ride, with the possibility of the photos being used for social media publications. If you do not wish for photographs to be taken of minors in your party, please inform us at the time of booking the training rental.
Insurance Policy Information and Additional Insured Requests:
Customers requesting information about our insurance policy or wishing to be added as an additional insured on our policy may do so for an additional fee of $120. Please contact us for more information and to make arrangements.
Mileage Fee for Parties Outside of Lafayette Parish:
Parties located outside of Lafayette Parish may incur a mileage fee. Please contact us for more information and to make arrangements.
Cancellation Policy:
In the event that you need to cancel your train, cotton candy, or snow machine rental reservation, please notify us at least 72 hours prior to the scheduled date. Cancellations made within this timeframe will result in the forfeiture of the booking fee or deposit. Dates booked during peak season (October 1st through December 31st) require a 10-day cancellation notice.
Peak Season Booking:
For bookings during peak season, from October 1st through December 31st, a separate booking fee of $50 is required at the time of the booking, in addition to 50% of the entire party package cost. This ensures that your reservation is secured during high-demand periods.
Rescheduling Policy:
We understand that unforeseen circumstances may arise that require you to reschedule your event. If you need to reschedule your train, cotton candy machine or snow machine rental, please contact us as soon as possible to discuss alternative dates. We will make every effort to accommodate your request, subject to availability.
Inclement Weather Policy:
In the event of inclement weather, All Aboard Party Headquarters reserves the right to cancel or reschedule train, cotton candy machine, and snow machine rentals for the safety of our passengers and staff. We will work with you to find alternative dates for your event, and any deposits or booking fees paid will be applied to the rescheduled reservation.
Additional Terms and Conditions:
- Full payment for train, cotton candy, and snow machine rentals is due 1 day prior to the scheduled date.
- Any damage to the train, cotton candy, or snow machine equipment caused by negligence or misuse during the rental period will be the responsibility of the renter.
